Workspaces
Set up workspaces to organize your recruiting efforts. Each workspace has its own contacts, searches, and pipelines.
Overview
A workspace is an isolated environment within your organization. Each workspace has its own contacts, searches, shortlists, sequences, and settings. Use workspaces to:
- Separate recruiting efforts by department (Engineering, Sales, Marketing)
- Organize by geography (Brazil, USA, Europe)
- Manage different clients (for agencies)
- Create project-specific environments (High-Volume Hiring Q1)
Start Simple
Begin with a single workspace and create additional ones only when you need data isolation. Team members can be granted access to multiple workspaces.
Creating Workspaces
Organization owners and admins can create new workspaces:
- Click the workspace dropdown in the sidebar
- Select Create New Workspace
- Enter a descriptive workspace name
- Optionally add a description
- Choose who can access this workspace
- Click Create
Naming Best Practices
- Use clear, descriptive names that indicate purpose
- Include department or client name if relevant
- Add timeframe for project-based workspaces
- Examples: "Engineering - Backend", "Client: Acme Corp", "Sales Hiring Q1 2024"
Workspace Settings
Each workspace has its own settings:
- Switch to the workspace you want to configure
- Go to Settings → Workspace
General
- Name - The workspace display name
- Description - Details about this workspace's purpose
- Default Language - Language for templates and messages
Pipeline Settings
- Default Stages - Pipeline stages for new shortlists
- Stage Colors - Visual colors for each stage
- Auto-Archive - Auto-archive shortlists after completion
Sequence Settings
- Send Windows - Hours when sequences can send messages
- Time Zone - Workspace timezone for scheduling
- Reply Detection - How to handle candidate replies
Templates
- Email Templates - Reusable email templates
- Message Templates - WhatsApp and LinkedIn templates
- Note Templates - Standard notes and comments
Switching Workspaces
Switch between workspaces you have access to:
- Click the workspace name in the top left of the sidebar
- Select the workspace you want to access
- The page will refresh with the new workspace context
Note
Your current workspace is shown in the sidebar and affects all data you see. Searches, contacts, and shortlists are workspace-specific.
Keyboard Shortcut
Press Cmd/Ctrl + Shift + W to quickly open the workspace switcher.
Workspace Data
Each workspace contains isolated data:
What's Workspace-Specific
- Contacts and candidate data
- Saved searches
- Shortlists and pipeline configurations
- Sequences and templates
- Activity history and notes
- Workspace settings and preferences
What's Shared Across Workspaces
- Organization billing and subscription
- Credit balance (shared across all workspaces)
- Team member accounts
- Connected integrations (some)
No Cross-Workspace Access
Data from one workspace cannot be accessed from another. If you need to share a contact or shortlist, export and import it, or use the API.
Archiving & Deleting
Archiving a Workspace
Archive workspaces you're no longer actively using but want to preserve:
- Go to Settings → Workspace
- Click Archive Workspace
- Confirm the archive action
Archived workspaces:
- Are hidden from the workspace switcher by default
- Can be accessed via Show Archived
- Retain all data and settings
- Can be unarchived at any time
Deleting a Workspace
Permanently delete a workspace and all its data:
- Go to Settings → Workspace → Danger Zone
- Click Delete Workspace
- Type the workspace name to confirm
- Click Delete Permanently
Permanent Deletion
Deleting a workspace permanently removes all contacts, shortlists, sequences, and data within it. This cannot be undone. Export your data first.
