Members
Invite team members to collaborate. Manage access levels and permissions for your recruiting team.
Overview
Invite team members to collaborate on recruiting efforts. Members belong to an organization and can be granted access to specific workspaces with different permission levels.
Key concepts:
- Organization Members - People who belong to your organization
- Workspace Access - Which workspaces a member can view
- Roles - Permission levels that control what members can do
Inviting Members
Organization owners and admins can invite new members:
- Go to Settings → Organization → Members
- Click Invite Member
- Enter their email address
- Select their organization role (Admin, Member)
- Choose which workspaces they can access
- Set their workspace role for each workspace
- Click Send Invitation
The invited person will receive an email with instructions to:
- Create a WallJobs AI account (if new)
- Accept the invitation to join your organization
- Access the workspaces they've been granted
Member Roles
There are two levels of roles: organization roles and workspace roles.
Organization Roles
| Role | Capabilities |
|---|---|
| Owner | Full access including billing, member management, and organization settings. Can delete the organization. Only one owner per organization. |
| Admin | Can manage members, create workspaces, and view billing. Cannot delete organization or transfer ownership. |
| Member | Standard access to assigned workspaces. Cannot manage organization settings or other members. |
Workspace Roles
| Role | Capabilities |
|---|---|
| Workspace Admin | Full access within the workspace including settings, templates, and all data. Can grant workspace access to other members. |
| Recruiter | Can use all features: search, contacts, shortlists, sequences. Cannot modify workspace settings or templates. |
| Viewer | Read-only access to workspace data. Can view contacts, shortlists, and reports but cannot make changes. |
Workspace Access
Members must be explicitly granted access to each workspace. A member can have:
- Access to no workspaces (organization member only)
- Access to one workspace
- Access to multiple workspaces with different roles
- Access to all workspaces (typically admins)
Granting Workspace Access
- Go to Settings → Workspace → Members
- Click Add Member
- Select an existing organization member
- Choose their workspace role
- Click Add to Workspace
Revoking Workspace Access
- Go to Settings → Workspace → Members
- Find the member
- Click Remove from Workspace
- Confirm the removal
Removing workspace access doesn't remove them from the organization. They remain an organization member and can be added back to workspaces later.
Managing Members
Changing Roles
- Go to Settings → Organization → Members
- Find the member
- Click their name to open the detail panel
- Change their organization role or workspace roles
- Save changes
Viewing Member Activity
Track what members are doing:
- Last Active - When they last logged in
- Activity Log - Recent actions in the organization
- Workspace Activity - Actions within specific workspaces
Resetting Password
If a member forgets their password, they can use the "Forgot Password" link on the login page. Admins cannot reset passwords for other members directly.
Removing Members
To completely remove a member from your organization:
- Go to Settings → Organization → Members
- Find the member
- Click Remove from Organization
- Confirm the removal
Removed members:
- Immediately lose access to all workspaces
- Cannot log in to your organization
- Keep their WallJobs AI account (can join other organizations)
- Can be re-invited if needed
