Before diving deeper into WallJobs AI, it's important to understand the core concepts that power the platform. This page explains the fundamental building blocks you'll work with every day.

Intelligent assistants that power search and automation.

Organizations

An Organization is the top-level entity in WallJobs AI. It represents your company or agency and serves as the container for:

  • Billing - All subscriptions and payments are managed at the organization level
  • Team Members - Users belong to an organization and can access its workspaces
  • Workspaces - Multiple workspaces can exist under one organization
  • Credits - Credit balance is shared across all workspaces in the organization

Most teams need just one organization. However, agencies managing multiple clients might create separate organizations for each client to keep billing and data completely isolated.

Note
Organization owners have full administrative access, including billing management, member invitations, and workspace creation.

Workspaces

A Workspace is an isolated environment within an organization. Think of it as a separate recruiting project or department. Each workspace has its own:

  • Contacts - Candidate database is workspace-specific
  • Searches - Saved searches belong to a workspace
  • Shortlists - Pipelines and shortlists are workspace-scoped
  • Sequences - Outreach campaigns run within a workspace
  • Settings - Custom pipeline stages, templates, and preferences

Common use cases for multiple workspaces:

  • Departments - Engineering, Sales, Marketing each have their own workspace
  • Locations - Brazil, USA, Europe workspaces for regional hiring
  • Clients - Agencies create workspaces per client for separation
  • Projects - High-volume hiring initiatives get dedicated workspaces
Workspace Best Practice
Start with a single workspace and create additional ones only when you need data isolation. Team members can be granted access to multiple workspaces.

Credits

Credits are the currency for AI-powered operations in WallJobs AI. They're consumed when you use features that require AI processing or external data:

Credits are included in your subscription plan and refresh monthly. You can also purchase additional credit packs if you need more. View your current balance and transaction history in Settings → Billing → Credits.

Warning
Credits don't roll over between months. Use them or lose them! Upgrade your plan if you consistently need more credits.

AI Agents

AI Agents are the intelligent systems that power WallJobs AI's capabilities. Different agents handle different tasks:

  • Search Agent - Understands natural language queries, extracts requirements, and finds matching candidates using semantic search.
  • Enrichment Agent - Gathers additional information about candidates from public sources, social profiles, and data providers.
  • Co-Pilot Agent - The chat assistant that helps you perform actions using conversational commands.
  • Scoring Agent - Evaluates candidates against job requirements and provides match scores and recommendations.

You don't interact with agents directly - they work behind the scenes to make your recruiting workflow smarter and faster.

Contacts vs Candidates

In WallJobs AI, we use specific terminology:

  • Contact - Any person stored in your database. Contacts contain profile information, work history, skills, and contact details.
  • Candidate - A contact that has been added to a shortlist for a specific position. The same contact can be a candidate for multiple positions.

This distinction allows you to maintain a long-term talent pool (contacts) while tracking specific hiring processes (candidates in shortlists).

Data Enrichment

Enrichment is the process of enhancing contact profiles with additional data from external sources. When you enrich a contact, WallJobs AI gathers:

  • Professional Info - Current and past positions, company details
  • Social Profiles - LinkedIn, GitHub, Twitter links
  • Contact Details - Email addresses, phone numbers
  • Skills & Technologies - Extracted from profiles and repositories
  • Education - Degrees, institutions, certifications
Enrichment Sources
We aggregate data from multiple providers to ensure accuracy. All data collection complies with privacy regulations and our terms of service.

Enrichment can be triggered:

  • Manually - Click "Enrich" on any contact profile
  • Automatically - When adding contacts to a shortlist
  • In Bulk - Select multiple contacts and enrich them together
